TITLE: Office Assistant III – Human Trafficking Prevention & Intervention Services & Youth Crisis and Homeless Services

HOURS: 40 Hours Per Week

Hourly Rate: $17 Bilingual Incentive included in rate

This is a hybrid position – onsite and remote. OAIII will report to Camarillo, Family Justice Center, Human Trafficking Shelter location depending on business need.

 JOB OVERVIEW

Need for attention to detail, flexibility, work independently as well as part of a team, familiar and comfortable with spreadsheets, takes initiative and able to multi-task. Currently working from home and onsite temporarily due to COVID, however employees will be expected to work at their assigned worksite in Ventura County as needed or when we are able to return to office.

 Under general supervision, this position is responsible for providing administrative and project support to the Human Trafficking Prevention and Intervention Services and Youth Crisis and Homeless Services programs and leadership team. The position will provide general office support, customer services and complete data entry, data collection, and quality assurance for the human trafficking prevention, intervention and initiative programs.

 DUTIES:

  1. Acquire and maintain a thorough understanding of department and agency programs and respond to requests from the community for general information about the agency, services, programs, activities, and resources.
  2. Direct phone calls and emails to appropriate programs and staff; follow up on service and department requests.
  3. Provide office support including filing, organization, preparation and maintenance of outreach and program materials and information, order and track program supplies.
  4. Maintain assigned contract binders, rosters, MOU’s, and activity calendar ensuring contract compliance within the department.
  5. Collect and manage department data including client information with sensitivity and maintain confidentiality.
  6. Perform data entry functions; compile and prepare reports for multiple stakeholders and contracts using program specific databases.
  7. Collaborate with management to update and maintain program brochures, forms and manuals up to date.
  8. Conduct research and prepare summaries of information for department development; prepare meeting agendas and meeting minutes for department and assigned collaborative meetings.
  9. Provide quality assurance to service data, program deliverables, client records, and required staff trainings.
  10. Participate in community outreach, agency staff meetings, collaborative meetings, trainings, and department events as assigned.
  11. Attend all necessary supervision, agency, department, team, and training meetings as requested by management.
  12. Cross training in and performance of screening, assignment and referral.
  13. Maintain lines of communication with supervisor and other program staff.
  14. Support a positive working environment and work successfully as a member of a team.
  15. Other related duties as assigned.

 QUALIFICATIONS:

Associate degree or equivalent experience required. Bachelor’s degree preferred. Experience with quality assurance, database and data entry, strong attention to detail, familiarity and comfortability with spreadsheets, initiative and organization skills, ability to meet deadlines and assist in completion of time sensitive projects required. Quality customer service, competency performing individual work and as part of a team, strong attention to detail, demonstrated strong data entry experience, time management and organizational skills. Computer literate with comfort and ease using Microsoft Office Suite – including Word, Excel, PowerPoint, Publisher preferred. Spanish fluency, both oral and written is required. Must complete the 60-Hour Human Trafficking and Domestic Violence training within 3 months of hire.  Must demonstrate a solid work ethic, cultural awareness and skills to engage with diverse populations. Successful background and criminal clearance required and maintained, including but not limited to California Department of Justice (DOJ), Federal Bureau of Investigation (FBI, Child Abuse Index and Department of Motor Vehicles (DMV).  Proof of a valid California Driver License, reliable transportation, proof of automobile insurance (listed as covered), pass and maintain driving approval as required by our insurer.
