Accounts Receivable Manager

Exemption Status:  Exempt

Salary: $75,000

  • An immediate need for experienced Accounts Receivable Manager meeting all qualifications of the position. Accounts Receivable Manager controls all accounts receivable functions: manages the billing process, collections activities, keeping track of cash receipts. Works with Program staff on creating and monitoring contract budgets.

MUST HAVE EXCELLENT ACCOUNTING & COMMUNICATION SKILLS, STRONG SAGE INTACCT OR SIMILAR ACCOUNTING SOFTWARE/EXCEL EXPERIENCE, AND 3 YEARS EXPERIENCE SUPERVISING ACCOUNTS RECEIVABLES AND GOVERNMENT CONTRACTS.

OVERVIEW

This position is responsible for managing the effective and efficient operations of the Finance Department with specific focus on Accounts Receivable for Interface Children & Family Services a countywide, social service nonprofit. The Accounts Receivable Manager supervises staff of two or more and reports directly to the Controller.  The Accounts Receivable Manager ensures that billings are accurately & timely performed and funds are paid & collected each month according to the goals, objectives and mission of the organization; ensures that the funds are being spent according to the organization’s procedures and to a budgeted plan; and ensures compliance with generally accepted accounting principles.  Accounts Receivables Manager assists the Controller in timely month-end close, the preparations of monthly financial statements, and program and agency audits. Further, Accounts Receivables Manager will assist Controller in developing & monitoring program budgets by coordinating with Department’s Program Directors.

 

DUTIES

  1. Coordinates day-to-day operations of the accounts receivable department, including the design of an organizational structure adequate for achieving the department’s goals and objectives.
  2. Ensure that expenses and receivables are correctly recorded and allocated within the general ledger.
  3. Supervise the contract billing process and ensure that accounts receivable are prepared in a timely manner.
  4. Assist Controller with month-end close and monthly financial statements for CFO review.
  5. Assist Controller in developing & monitoring program budgets and maintain a thorough knowledge of all contracts. Track & monitor all contract changes in the Agency Contracts File system.
  6. Coordinate an allocation plan to ensure contract spend-downs and necessary allocation changes.
  7. Ensure that general ledger detail aligns with contract requirements and that systems are in place to meet Federal Audit Standards.
  8. Routinely monitor contract performance and bring performance issues to the attention of Controller.
  9. Assist Controller & CFO in the preparation of annual agency audits and agency financial/program budgets.
  10. Assume role of Financial Manager or an Alternate for all Federal & State Grants reporting & payments.
  11.  For new or terminated programs recommend to Controller any revisions of GL codes & communicate to appropriate Finance and Program staff.

QUALIFICATIONS 

Bachelor’s degree in accounting or equivalent experience.

At least 3 years of progressively responsible experience in Accounts Receivable/Accounting management.

Non-profit experience is a plus.

Ability to recognize and maintain confidentiality.

Excellent organization and analytical skills.

Knowledgeable in US GAAP.

Excellent communication skills (verbal and written).

Ability to understand complex grant contracts and navigate government reporting & payment portals.

Ability to handle multiple priorities and to set and meet deadlines. Attention to detail, analytical and good problem-solving skills.

Understand and work effectively across the organization using mission, policies, and practices.

Ability to work in a high-energy organization; a team player willing to take on new challenges and who demonstrates the ability to partner across all organizational levels and departments, yet maintain appropriate confidentiality

Successful background, credit and criminal clearance required.  Including but not limited to DOJ – Department of Justice, FBI and DMV.  Proof of valid California drivers’ license and reliable transportation, automobile insurance and maintain agency driving approval through agency carrier.
